How Estate Agencies Can Plan a More Reliable Viewing Route

Grouping several viewings into one run can save time, but an over-optimistic route creates its own problems. A late first appointment can affect every viewer afterwards, while different key, access and occupancy arrangements can make two nearby properties operationally very different.

A reliable viewing route combines geography with the practical conditions attached to each appointment.

Start with confirmed appointment windows

Build the route from the current appointment record rather than a rough diary view. Check whether any viewing has a constrained arrival time or another condition that affects sequencing.

Add realistic travel and transition time

Allow for parking, walking, collecting or returning keys and moving between properties. The shortest map route is not always the fastest workable viewing sequence.

Review access before finalising the order

Check how each property will be entered and whether keys, occupier arrangements or another access dependency must be coordinated. A route is not ready if the agent reaches the address without the means to conduct the appointment.

Keep property information matched to each stop

Prepare the correct current viewing information for each property. When several similar listings are visited consecutively, clear separation reduces the risk of carrying details from one appointment into another.

Build in a response to delay

Decide how the branch will handle a late-running route and who can contact affected viewers if necessary. Agents should not need to improvise the communication process while moving between appointments.

Record route changes centrally

If an appointment is cancelled, moved or reassigned, update the shared working record so branch staff and the viewing agent are working from the same sequence.

Review recurring route problems

If certain locations, access arrangements or scheduling patterns repeatedly cause delay, use that experience when planning future blocks rather than treating each late route as an isolated event.

Efficient viewing routes are not about packing the maximum number of appointments into the shortest theoretical period. They give agents enough structure and margin to arrive prepared and keep the wider diary dependable.
